Custom CRM Development — the questions we get asked

Off-the-shelf CRMs are excellent when your sales process looks like everyone else's. The moment it does not, you start paying twice — once in licence fees, and again in the workarounds, spreadsheets, and manual re-entry your team invents to make the tool fit. A custom CRM is worth it when your pipeline has stages a template cannot express, when per-seat pricing has outgrown the value you get, or when the data you actually sell on lives in three systems that do not talk. If none of those are true, we will tell you to keep the off-the-shelf tool.

We do not quote a CRM off a feature list, because the cost is driven by how many systems it has to connect to, not by how many screens it has. The path is a free Process Teardown, then a $3,000 two-week Process Audit that produces a blueprint and a fixed, costed plan. You own that plan whether you build it with us or hand it to someone else. Most CRM builds then run six to sixteen weeks, shipped in working increments rather than one big launch.

We ship in increments, so the first usable slice — usually the pipeline and contact records your reps live in — lands within the first few weeks, not at the end. That matters more than it sounds: a CRM that arrives all at once, fully-formed, is a CRM your reps learn to resent. Getting the core in front of them early means the automations and reporting we build after that are shaped by how they really work.

That is usually the whole point. A CRM that only knows about deals is just a nicer spreadsheet; the value shows up when a rep can see the invoice history, the open support ticket, and the last five emails on one screen. We integrate through published APIs and webhooks where they exist, and build sync jobs where they do not, so the customer record stays current without anyone copying data between tabs.

It comes with you. We map your existing fields to the new model, run the migration against a copy first so you can check it, and keep both systems readable during cutover. Historical deals, notes, attachments, and email threads all migrate. We also treat migration as a chance to clean up — deduplicating contacts and dropping the dead fields that accumulated over the years is far easier during a move than after one.

Yes, and we would rather do it second. AI on top of a CRM is genuinely useful — call summaries, next-best-action, drafting follow-ups, flagging accounts that have gone quiet. But every one of those depends on clean, connected data. Layered onto a CRM where half the deals are stale and the billing data disagrees with the pipeline, AI produces confident nonsense. Get the foundation right, then the AI features work on data you can actually trust.

You do — the source code, the database, the infrastructure accounts, all of it. We hand over the repository and the documentation, and we are happy for your own team or another agency to pick it up. There is no licence, no per-seat fee, and nothing that stops working if you stop working with us. Most clients do keep us on a monthly hours block afterwards, but that is a choice, not a dependency.
